Job Description The Finance Assistant will support the implementation of NDI’s Financial and Administrative policies and procedures, ensuring that financial transactions and reports are accurate, complete, timely and compliant with NDI policies, applicable Government regulations and Donor Agency requirements. The Finance Assistant will report directly to the Finance & Administration Manager and work closely with the Finance, Administration and Program teams. This is a one-year fixed-term contract. Essential Duties and Responsibilities Assist the Finance & Administration Manager with recording, coding, posting and reconciliation of financial transactions, ensuring accuracy, completeness and proper supporting documentation. Assist in preparing and processing payments, maintaining petty cash, and following up on outstanding vendor payments and documentation. Verify, track, file and maintain financial and administrative documents, including invoices, receipts, vouchers, contracts and payment records. Maintain and follow up on eTIMS invoices from vendors, consultants and service providers, and support Program staff in obtaining eTIMS invoices and documentation for participant reimbursements. Assist with statutory and tax-related compliance and maintain relevant supporting documentation. Provide administrative and procurement support, including quotations, purchase documentation, vendor records, office supplies, assets and general office administration. Assist with staff travel, accommodation, transport, meetings, workshops and other logistical arrangements. Maintain office, asset, personnel and administrative records and ensure proper and confidential filing of documents. Assist in sub-award/site audits, internal and external audits, including document preparation, retrieval, filing and follow-up on audit requirements. Assist in ensuring compliance with NDI policies, donor requirements and applicable Kenyan laws and regulations. Support staff and sub-grant partners on NDI financial and administrative procedures and documentation requirements. Perform other finance, accounting and administrative duties as assigned by the Finance & Administration Manager. Experience and Skills Required: ● Bachelor’s Degree in finance, accounting, business administration. ● CPA Part II or ACCA Level II Qualification ● Minimum of two (2) years in financial management, accounting, and/or administration, preferably for an international NGO supported through donor funding. ● High level of attention to details in all aspects of work responsibilities. ● Strong written and verbal communications skills combined with the ability to work collaboratively with diverse groups. ● Experience with word processing and spreadsheet software (Microsoft Word and Excel preferred). ● Ability to analyze and interpret governmental and organizational rules and regulations. ● Capacity to identify essential elements of complex accounting issues. ● Working knowledge of PC-based software; proficiency in Windows and Microsoft Suite. ● Working knowledge of Quicken or other accounting software and Excel. ● Strong ethics, with an ability to manage confidential data. ● Experience working at a non-profit is preferred. ● Capacity to work both independently and as a member of a team.
